How Lava Latte Cut Order Processing Time in Half With RACK Restaurant POS

Lava Latte, a neighborhood café on Chaka Road at eBee Showroom, has built its identity around artistic interiors, a relaxed atmosphere, and good coffee and food. With RACK Restaurant POS, the café has brought the same attention to its operations, replacing handwritten orders and manual reconciliations with a system that improves accountability, speeds up service, and gives the team better visibility into sales and inventory.

Lava Latte was designed to be more than a place to grab a cup of coffee. Tucked away in a serene corner at eBee Showroom on Chaka Road, the café offers an artistic setting where customers can relax, enjoy good food, and spend time away from the pace of everyday life.

Creating that experience takes more than the right atmosphere. Behind every order is a team coordinating service, preparing food, tracking sales, and keeping inventory in check. As the café grew, managing these processes manually made it harder to maintain accountability and keep service moving efficiently.

The challenge: Managing orders and inventory without a connected system

Before introducing RACK, Lava Latte relied on handwritten orders and manual reconciliations. Sales and inventory management also required the team to work without the accountability that comes with a centralised system.

For Eric, Lava Latte’s Kitchen Operations Manager, the lack of systems meant there was no accountability.

Manual processes affected more than the back of the house. Waiters spent time writing down orders, taking them to the kitchen, and checking that the correct items had been recorded. These tasks took time away from serving customers and made it harder for management to maintain a clear picture of daily operations.

The solution: Connecting orders, kitchen operations, and reporting with RACK

Lava Latte introduced RACK Restaurant POS to replace manual order-taking and bring greater structure to its day-to-day operations. Orders entered by waiters now generate kitchen order tickets automatically, sending the details directly to the kitchen without requiring staff to carry handwritten instructions back and forth.

The system also gives management a central point for tracking inventory, monitoring sales, and generating reports.

Three improvements stand out.

1. Faster order processing from the floor to the kitchen

Previously, waiters had to write down orders and physically take them to the kitchen, then spend additional time confirming that the order was correct. With RACK, a waiter enters the order into the system, and a kitchen order ticket prints automatically.

According to Eric, this has reduced order processing time by half. The team spends less time moving between the dining area and kitchen, while kitchen staff receive orders directly and can begin preparing them.

2. Better accountability for inventory and sales

With RACK, Lava Latte has improved visibility into inventory and sales activity. Management can track what is being sold, monitor inventory, and generate reports without relying solely on handwritten records.

For Eric, this accountability is one of the system's most important benefits. Having operational information in one system makes it easier to monitor activity and understand what is happening across the business.

3. Easier order-taking and billing for waiters

The change has also made everyday service simpler for the front-of-house team.

“It has made our work easy because placing orders and billing clients is quite easy compared to doing it manually,” says Betty, a waiter at Lava Latte.

Previously, the team recorded orders in a book and used the same book to reconcile transactions manually. RACK has replaced those steps with a digital process, reducing the amount of paperwork involved in taking orders and billing customers.

The split-payment feature is another favourite. When customers dine together but want to pay separately, staff can split the bill instead of working out individual amounts manually. This makes it easier to accommodate different payment arrangements while keeping billing organised.

The impact: Half the order processing time and more accountable operations

For Lava Latte, introducing RACK has changed how the café manages the work behind each customer experience.

Order processing time has been reduced by half, according to Eric, while automated kitchen tickets have replaced the need to carry handwritten orders to the kitchen and manually confirm their accuracy. Waiters can place orders and bill customers through the system, and management has better visibility into inventory, sales, and operational reports.

The shift has also reduced the team's reliance on handwritten records for reconciliations, giving staff a more structured way to manage daily transactions.

These improvements matter in a café where the goal is to give customers a relaxed experience without allowing the work behind the scenes to become unnecessarily complicated. By bringing order-taking, kitchen communication, billing, inventory management, and reporting into one system, Lava Latte can spend less time on manual processes and more time delivering the experience it set out to create.

For a neighbourhood café built around good coffee, good food, and a welcoming atmosphere, better operations help make that experience possible.
